Peytec Inc. (“Peytec,” “we,” “us,” or “our”) respects your privacy and is committed to protecting personal information entrusted to us.

This Privacy Policy explains how Peytec collects, uses, stores, processes, discloses, retains, and protects information when individuals and organizations interact with our websites, mobile applications, cloud-based platforms, software, connected devices, electronic tags, readers, Internet of Things (“IoT”) products, and related services.

For purposes of this Privacy Policy, these products and services are collectively referred to as the “Services.”

This Privacy Policy applies to Peytec’s websites, including peytec.com, as well as Peytec mobile applications available for supported mobile operating systems.

Where required by applicable law, Peytec obtains consent for the collection, use, or disclosure of personal information.

1. Scope of This Privacy Policy

This Privacy Policy applies to information collected or processed through:

  • Peytec websites;

  • Peytec mobile applications;

  • Peytec customer portals and cloud platforms;

  • Peytec user accounts;

  • Peytec electronic tags;

  • tag scanning, reading, programming, and management functionality;

  • Bluetooth-connected readers and other compatible external devices;

  • connected IoT devices and equipment;

  • customer-specific cloud environments;

  • analytics and diagnostic systems;

  • customer service and technical support;

  • product registration;

  • communications with Peytec; and

  • other Peytec products or services that reference this Privacy Policy.

Specific products or enterprise deployments may be subject to additional contractual terms, privacy notices, data-processing agreements, or customer-specific requirements.

2. How the Peytec Mobile Application Works

The Peytec mobile application is designed to allow authorized users to interact with Peytec tags, readers, connected devices, and cloud-based Services.

Depending on the product configuration and permissions assigned to a user, the application may allow an authorized user to:

  • sign in to a Peytec account;

  • scan or read Peytec tags;

  • identify individual tags;

  • program or configure tags;

  • associate tags with equipment, assets, locations, or other records;

  • enter information associated with a tag;

  • connect to a compatible Bluetooth reader or other external device;

  • receive tag information detected by an external reader;

  • view the operational status of compatible connected devices;

  • collect equipment, tag, reader, or status information;

  • record operational activity;

  • synchronize information with Peytec cloud infrastructure;

  • retrieve previously stored information; and

  • access features made available by the user’s organization.

The exact functionality available depends on the Peytec product, customer deployment, account permissions, connected hardware, and application version.

3. Information We Collect

The information Peytec collects depends on the Services being used, the customer’s configuration, the user’s permissions, and how the user interacts with the Services.

We may collect the categories of information described below.

3.1 Account and Identity Information

Users may be required to authenticate before accessing certain Peytec Services.

Depending on the customer deployment, account information may include:

  • first and last name;

  • email address;

  • username;

  • telephone number;

  • company or organization;

  • department or organizational information;

  • job title or role;

  • account identifier;

  • customer identifier;

  • assigned permissions;

  • authentication information;

  • login activity;

  • account status; and

  • communication preferences.

This information may identify or reasonably be associated with an individual user.

We use account information primarily to:

  • authenticate users;

  • authorize access;

  • associate activity with the appropriate account;

  • administer customer environments;

  • provide customer support;

  • maintain system security;

  • investigate unauthorized activity; and

  • operate the Services.

4. Authentication and Authorization

Access to Peytec cloud Services and customer information is restricted through authentication and authorization controls.

Users are generally required to authenticate using credentials associated with an authorized account.

Access may depend on:

  • username and password credentials;

  • account status;

  • assigned user role;

  • organization membership;

  • customer environment;

  • administrator permissions; and

  • other authorization controls implemented by Peytec or the applicable customer.

Users should not share login credentials with unauthorized individuals.

Customers are responsible for appropriately managing users who are authorized to access their organizational account, including disabling access when personnel no longer require it.

5. Peytec Tag Information

The Peytec system enables authorized users to scan, read, program, configure, and manage compatible tags.

Information associated with a tag may include:

  • tag identifier;

  • tag serial number or unique identifier;

  • tag type;

  • tag configuration;

  • tag status;

  • data programmed onto or associated with the tag;

  • timestamp information;

  • reader information;

  • equipment or asset association;

  • customer-entered information;

  • location-related information where applicable;

  • operational information;

  • application activity relating to the tag; and

  • other information required to provide tag-management functionality.

Tag information may be associated with:

  • an authenticated user;

  • a customer account;

  • an organization;

  • an asset;

  • a location;

  • a reader;

  • connected equipment; or

  • another record within the applicable customer environment.

6. Information Entered by Users

Authorized users may enter information into the Peytec application or cloud platform.

This information may include:

  • equipment descriptions;

  • asset information;

  • tag descriptions;

  • names or identifiers;

  • notes;

  • status information;

  • operational records;

  • configuration information;

  • customer-specific fields; and

  • other information entered as part of the customer’s use of the Services.

Customers and users should only enter information that they are authorized to collect and process.

7. Bluetooth Readers and Connected Devices

The Peytec application may communicate with compatible external devices using Bluetooth or other supported communication technologies.

These devices may operate as readers that detect, identify, or obtain information from Peytec tags.

When an authorized user connects the mobile application to a compatible reader or device, the application may collect or process information including:

  • reader identifier;

  • device identifier;

  • reader status;

  • connectivity status;

  • Bluetooth connection information;

  • firmware version;

  • hardware information;

  • operational status;

  • tags detected by the reader;

  • tag identifiers;

  • tag status information;

  • timestamps;

  • measurements or operational records;

  • diagnostic information;

  • device configuration; and

  • information associated with the authenticated user or customer account.

This information may be displayed in the mobile application, stored temporarily or persistently on the user’s device, and synchronized with the Peytec cloud platform.

8. Bluetooth Permissions

The Peytec mobile application may request Bluetooth or nearby-device permissions in order to provide core application functionality.

Bluetooth access may be used to:

  • discover compatible readers or devices;

  • establish connections;

  • authenticate or identify connected equipment;

  • communicate with readers;

  • retrieve reader status;

  • receive tag information;

  • configure connected equipment;

  • transmit commands; and

  • troubleshoot connectivity.

Users can manage Bluetooth permissions through their mobile operating system settings.

Disabling Bluetooth or required nearby-device permissions may prevent certain Peytec features from operating correctly.

9. Location Information

Depending on the user’s mobile operating system, device configuration, and application functionality, certain Bluetooth or nearby-device features may require location-related permissions.

Where location access is used, information may include approximate or precise device location.

Peytec may use location-related information where required to:

  • discover nearby equipment;

  • operate Bluetooth functionality;

  • associate equipment or tags with an authorized location;

  • support customer-specific location features;

  • troubleshoot equipment;

  • provide requested application functionality; or

  • maintain system security.

Peytec does not use mobile location information for third-party behavioural advertising.

Users may control location permissions through their device settings.

Certain features may be unavailable if required permissions are disabled.

10. Local Storage on Mobile Devices

Certain information used by the Peytec application may be stored locally on the user’s mobile device.

Local data may include:

  • account-related information;

  • application preferences;

  • authentication or session information;

  • tag information;

  • reader information;

  • device information;

  • records collected during operation;

  • pending synchronization data;

  • application configuration;

  • cached information; and

  • diagnostic information.

Local storage may be necessary to provide application functionality, maintain performance, support temporary connectivity interruptions, or synchronize records with the Peytec cloud environment.

Depending on the application configuration, locally stored information may remain on the mobile device until it is:

  • synchronized;

  • overwritten;

  • cleared by the application;

  • deleted by the user;

  • removed during account logout;

  • removed when application data is cleared; or

  • removed when the application is uninstalled.

Users are responsible for maintaining appropriate security over devices used to access Peytec Services.

11. Cloud Storage and Synchronization

Information collected or created through the Peytec application may be transmitted to and stored within Peytec’s cloud infrastructure.

This may include:

  • account information;

  • user identifiers;

  • tag information;

  • tag programming information;

  • reader information;

  • connected-device information;

  • customer-entered records;

  • activity records;

  • timestamps;

  • configuration information;

  • synchronization information;

  • diagnostic information; and

  • other records required to provide the Services.

Cloud synchronization enables authorized users and organizations to access, manage, maintain, and retrieve information across authorized devices and system interfaces.

12. Customer-Specific Cloud Environments

Peytec Services are generally deployed and managed on a customer-specific basis.

Information associated with one customer is logically associated with that customer’s account or environment.

Access to customer information is restricted based on authentication and authorization controls.

Authorized users generally may access only the customer environment, accounts, devices, tags, and records for which they have been granted permission.

Customer-specific access controls are intended to prevent users from one customer environment from accessing information belonging to another customer without authorization.

Peytec personnel or authorized service providers may access customer environments where reasonably necessary for purposes such as:

  • providing technical support;

  • maintaining the platform;

  • troubleshooting;

  • implementing customer-requested changes;

  • maintaining security;

  • investigating incidents;

  • performing backups or recovery;

  • administering cloud infrastructure; or

  • complying with applicable legal requirements.

Such access is subject to appropriate organizational and technical controls.

13. Information Linked to User Activity

Because users authenticate to the Peytec platform, certain activities may be associated with an identifiable user or account.

For example, Peytec may maintain records showing:

  • which user logged in;

  • when an account accessed the system;

  • which user scanned a tag;

  • which user programmed or modified a tag;

  • which user connected to a reader;

  • which device was used;

  • when information was submitted;

  • what information was created or modified;

  • synchronization activity; and

  • administrative or operational actions performed through the platform.

This information may be used to provide functionality, maintain records, support customers, maintain data integrity, troubleshoot problems, maintain auditability, and protect system security.

14. Device and Technical Information

When users access Peytec Services, we may automatically collect technical information such as:

  • device type;

  • device model;

  • mobile operating system;

  • operating-system version;

  • application version;

  • IP address;

  • device identifiers;

  • network information;

  • connection information;

  • language or regional settings;

  • timestamps;

  • application configuration;

  • crash information;

  • error information;

  • performance information; and

  • diagnostic logs.

We use this information to operate, secure, troubleshoot, maintain, and improve the Services.

15. Analytics

Peytec may collect analytics regarding use of its websites, applications, and Services.

Analytics may include:

  • application launches;

  • application screens accessed;

  • features used;

  • session information;

  • system events;

  • application performance;

  • errors;

  • crash information;

  • general usage patterns;

  • device characteristics; and

  • technical diagnostic information.

Analytics are used for purposes such as:

  • maintaining system reliability;

  • identifying errors;

  • evaluating feature usage;

  • troubleshooting;

  • improving application performance;

  • planning product improvements; and

  • protecting system security.

Where Peytec uses third-party analytics or diagnostic providers, those providers may process information on Peytec’s behalf subject to applicable contractual and privacy requirements.

16. Notifications

Peytec mobile applications may request permission to send notifications.

Notifications may relate to:

  • device status;

  • tag activity;

  • system status;

  • equipment alerts;

  • customer account activity;

  • security events;

  • maintenance;

  • application updates;

  • technical issues; or

  • other Service-related information.

Users can control notification permissions through their mobile-device settings.

17. Website Information

When individuals visit Peytec websites, we may collect information such as:

  • IP address;

  • browser type;

  • operating system;

  • device information;

  • pages viewed;

  • links selected;

  • referring website;

  • date and time of access;

  • website interactions; and

  • other technical usage information.

This information may be collected through cookies, server logs, analytics technologies, or similar tools.

18. Cookies and Similar Technologies

Peytec websites may use cookies and similar technologies to:

  • operate website functionality;

  • maintain sessions;

  • remember user preferences;

  • maintain security;

  • understand website performance;

  • identify technical problems; and

  • improve our websites and Services.

Where required by applicable law, Peytec will obtain appropriate consent before using non-essential cookies.

Users can manage cookies through their browser settings and any cookie-management tools Peytec makes available.

19. How Peytec Uses Information

Peytec may use information collected through the Services to:

  • provide the Services;

  • create and administer user accounts;

  • authenticate users;

  • authorize access;

  • operate customer-specific environments;

  • identify users and customer accounts;

  • scan and manage tags;

  • program and configure tags;

  • connect to Bluetooth readers;

  • retrieve tag information;

  • display equipment or reader status;

  • synchronize information between applications and cloud systems;

  • store customer information;

  • maintain operational records;

  • provide customer and technical support;

  • diagnose problems;

  • maintain system reliability;

  • protect the security of our systems;

  • detect unauthorized access;

  • investigate security incidents;

  • maintain audit records;

  • improve existing products;

  • develop new functionality;

  • communicate with customers;

  • administer customer relationships;

  • comply with legal requirements;

  • enforce agreements; and

  • protect Peytec, our customers, our users, and our systems.

Peytec does not use personal information for materially unrelated purposes without obtaining additional consent where required by applicable law.

20. Enterprise Customers and Customer Administrators

Many Peytec Services are provided to businesses, organizations, institutions, or other enterprise customers.

Where an individual accesses Peytec Services through an organization, that organization may control certain information associated with the user’s account.

Authorized customer administrators may be able to:

  • create user accounts;

  • modify accounts;

  • assign permissions;

  • restrict access;

  • view user information;

  • view system activity;

  • access tag records;

  • access device information;

  • administer customer data; and

  • deactivate user accounts.

In these circumstances, the applicable organization may be responsible for determining why and how certain personal information is collected and used.

Peytec may process this information on behalf of the customer in accordance with applicable agreements.

Users should contact their organization’s administrator regarding questions about their organization’s internal use of information.

21. How We Share Information

Peytec does not sell personal information.

Peytec does not disclose customer information to unrelated third parties for their own independent marketing or advertising purposes unless specifically disclosed and appropriate consent is obtained where required.

Information may be disclosed in the circumstances described below.

21.1 Cloud and Service Providers

Peytec may use service providers to support its Services.

These may include providers of:

  • cloud infrastructure;

  • database hosting;

  • data storage;

  • authentication;

  • networking;

  • monitoring;

  • cybersecurity;

  • analytics;

  • crash reporting;

  • email delivery;

  • push notifications;

  • software development;

  • technical support;

  • backup;

  • disaster recovery; and

  • other technology infrastructure.

These providers may process information on Peytec’s behalf only as required to provide the applicable services, subject to applicable contractual and legal requirements.

21.2 Customer Organizations

Information generated within a customer’s Peytec environment may be made available to authorized personnel designated by that customer.

This may include:

  • customer administrators;

  • supervisors;

  • authorized employees;

  • contractors;

  • technical personnel; or

  • other users authorized by the customer.

Access is subject to the customer’s account configuration and assigned permissions.

21.3 Legal Requirements

Peytec may disclose information where we reasonably believe disclosure is necessary or required to:

  • comply with applicable law;

  • respond to a valid court order, warrant, subpoena, or other lawful request;

  • cooperate with legally authorized investigations;

  • enforce contractual rights;

  • investigate suspected fraud;

  • investigate cybersecurity incidents;

  • protect our systems;

  • protect the rights or property of Peytec or others; or

  • address circumstances involving health, safety, or security where legally permitted.

21.4 Business Transactions

Information may be transferred or disclosed in connection with a proposed or completed:

  • merger;

  • acquisition;

  • financing;

  • restructuring;

  • sale of assets;

  • reorganization; or

  • similar business transaction.

Any organization receiving personal information remains subject to applicable privacy requirements.

22. We Do Not Sell Personal Information

Peytec does not sell personal information collected through its mobile applications or cloud Services.

Peytec does not provide customer operational data, tag information, reader information, or identifiable user information to data brokers.

23. Advertising and Cross-App Tracking

Peytec’s mobile applications are designed primarily to provide Peytec product, tag, reader, asset-management, and connected-device functionality.

Peytec does not use information collected through its mobile applications to track users across unrelated applications or websites for third-party behavioural advertising.

Peytec does not use tag, reader, or customer operational information for third-party advertising.

If Peytec introduces functionality involving advertising or tracking in the future, Peytec will update this Privacy Policy and obtain any permissions or consents required by applicable law or mobile-platform requirements.

24. Security

Peytec implements administrative, organizational, and technical safeguards intended to protect personal and customer information against risks such as:

  • unauthorized access;

  • unauthorized disclosure;

  • alteration;

  • misuse;

  • loss;

  • theft; and

  • destruction.

Depending on the system and deployment, safeguards may include:

  • authentication;

  • role-based or permission-based access controls;

  • customer-specific authorization;

  • network protections;

  • secure communication mechanisms;

  • monitoring;

  • logging;

  • backup procedures;

  • infrastructure security;

  • software-security practices; and

  • service-provider controls.

Access to customer information is restricted to authorized users, administrators, Peytec personnel, and authorized service providers who require access for appropriate business, operational, technical, security, or legal purposes.

Although Peytec uses safeguards intended to protect information, no Internet-based service, wireless system, cloud system, or electronic storage method can be guaranteed to be completely secure.

25. User Responsibilities for Security

Users are responsible for protecting:

  • usernames;

  • passwords;

  • authentication credentials;

  • mobile devices;

  • computers;

  • customer accounts; and

  • other methods used to access Peytec Services.

Users should:

  • use strong passwords;

  • avoid sharing credentials;

  • protect devices from unauthorized access;

  • log out when appropriate;

  • notify their administrator when access should be removed; and

  • notify Peytec or their organization promptly if they believe an account or device has been compromised.

26. Data Retention, Archiving, and Data Minimization

Peytec retains information only for as long as reasonably necessary to provide the Services, support customer operations, maintain security and system integrity, comply with contractual and legal obligations, and fulfill the purposes for which the information was collected.

As part of Peytec’s ongoing data-management and platform-maintenance practices, information may periodically be reviewed, archived, anonymized, aggregated, or deleted when it is no longer reasonably required for active service delivery or other legitimate purposes.

This may include, where appropriate:

  • information associated with inactive devices or tags that have not had activity for an extended period;

  • historical tracking, event, system, and audit records;

  • diagnostic and operational records;

  • outdated configuration information; and

  • other historical information that is no longer required for active customer operations.

The applicable retention period may vary depending on the type of information, customer configuration, contractual requirements, operational needs, security requirements, applicable law, and the nature of the applicable Peytec Service.

Historical information may not remain indefinitely available through Peytec’s live applications, dashboards, or customer interfaces. Certain information may instead be archived, anonymized, aggregated, or permanently deleted in accordance with Peytec’s data-retention and data-governance practices.

Where historical information has been archived and remains reasonably retrievable, Peytec may provide retrieval assistance upon request, subject to availability, applicable customer agreements, technical limitations, and any reasonable administrative or retrieval charges disclosed to the customer.

Peytec generally seeks to preserve information required for active devices, active tags, current operations, and ongoing service delivery while minimizing the unnecessary retention of historical information.

Peytec may retain information for longer periods where reasonably necessary or permitted for purposes including:

  • compliance with applicable law or regulatory requirements;

  • contractual obligations;

  • security and fraud prevention;

  • investigation of incidents;

  • backup and disaster recovery;

  • audit requirements;

  • dispute resolution;

  • enforcement of agreements;

  • protection of Peytec, its customers, users, or systems; and

  • other legitimate operational or business purposes permitted by law.

When information is no longer reasonably required, Peytec may securely delete, anonymize, aggregate, or otherwise dispose of it in accordance with applicable requirements and internal data-governance practices.

Information contained in backups or disaster-recovery systems may remain for a limited period after deletion from active systems until the relevant backup is overwritten, expired, or securely retired.

27. Account Deletion

Where a Peytec Service permits individual users to create or maintain accounts, eligible users may request deletion of their account and associated personal information.

Account-deletion requests may be available:

  • through the mobile application, where supported;

  • through a customer administrator;

  • through an account-management interface; or

  • by submitting a request to Peytec.

For enterprise-managed accounts, a user may need to contact the administrator of the organization that controls the account.

When an account is deleted, Peytec will delete or anonymize associated personal information as required by applicable law, subject to information that Peytec, an applicable customer, or its service providers are required or permitted to retain.

Information may also remain temporarily within backups, archived systems, audit records, or other records maintained for legitimate security, contractual, legal, dispute-resolution, operational, or compliance purposes.

Deletion of an account may result in permanent loss of access to associated information and Service functionality.

28. Data Stored by Customer Organizations

Where Peytec processes information on behalf of an enterprise customer, the customer may determine applicable retention, access, correction, and deletion requirements.

Requests concerning information controlled by an enterprise customer may be referred to that customer.

Peytec will reasonably assist customers in responding to privacy requests where required by applicable law or agreement.

29. International Processing and Cloud Infrastructure

Peytec is a Canadian company.

Peytec or its service providers may store or process information in Canada, the United States, or other jurisdictions in which Peytec’s cloud or technology providers operate.

Information processed in another jurisdiction may be subject to the laws of that jurisdiction and may be accessible to courts, law-enforcement agencies, or governmental authorities where lawfully required.

Peytec takes reasonable steps designed to ensure that service providers handling personal information provide appropriate protection consistent with Peytec’s contractual and legal obligations.

30. Your Privacy Rights

Depending on applicable law and the nature of Peytec’s relationship with you, you may have the right to:

  • request access to personal information Peytec holds about you;

  • request correction of inaccurate information;

  • ask questions regarding the use or disclosure of your information;

  • withdraw consent where legally permitted;

  • request deletion of certain personal information;

  • challenge Peytec’s compliance with applicable privacy requirements; and

  • submit a complaint regarding Peytec’s privacy practices.

Some rights may be limited by legal, contractual, security, or operational requirements.

Peytec may take reasonable steps to verify an individual’s identity before fulfilling a request.

Where information is controlled by one of Peytec’s enterprise customers, Peytec may direct the request to that customer.

31. Consent

Peytec seeks meaningful consent for the collection, use, and disclosure of personal information where consent is required by applicable law.

The form of consent may vary depending on:

  • the sensitivity of the information;

  • reasonable user expectations;

  • the purpose of collection;

  • the customer relationship; and

  • applicable legal requirements.

Certain information is necessary for Peytec to provide core Services.

For example, Peytec may require account information to authenticate a user and associate that user with the correct customer environment.

If a user refuses or withdraws consent for information necessary to provide a particular Service, Peytec may be unable to provide some or all of that Service.

32. Mobile Device Permissions

Depending on the application version and features being used, Peytec mobile applications may request access to:

  • Bluetooth;

  • nearby devices;

  • location;

  • notifications;

  • network connectivity; and

  • other mobile-device capabilities necessary to provide the applicable functionality.

The application will request applicable operating-system permissions where required.

Users can review or modify permissions through their device settings.

Disabling required permissions may cause certain application functionality to become unavailable.

33. Apple App Store

When Peytec distributes an application through Apple’s App Store, Peytec provides information to Apple regarding the types of information collected through the application and the purposes for which the information is used.

Certain data collected by Peytec applications may be associated with or linked to an authenticated user’s account because authentication is necessary to provide customer-specific functionality.

Information may be used for purposes such as:

  • application functionality;

  • authentication;

  • account management;

  • customer-specific services;

  • security;

  • analytics;

  • diagnostics; and

  • product improvement.

Apple may independently process information associated with App Store downloads or use of Apple services according to Apple’s own privacy practices.

34. Google Play

When Peytec distributes an application through Google Play, Peytec provides information regarding the application’s data collection, processing, sharing, and security practices through Google Play’s Data Safety disclosures.

Peytec intends for its Google Play disclosures to accurately reflect the applicable application’s actual data practices.

Google may independently process information relating to Google Play and Android services according to Google’s own privacy practices.

35. Third-Party Software and SDKs

Peytec applications may incorporate software libraries, software development kits (“SDKs”), APIs, cloud infrastructure, or other technologies supplied by third parties.

These technologies may perform functions such as:

  • authentication;

  • cloud communication;

  • analytics;

  • crash reporting;

  • security;

  • notifications;

  • networking;

  • device communications; and

  • application infrastructure.

Peytec reviews the data practices of material third-party technologies used within its applications and considers their information practices when making applicable privacy disclosures.

Third-party service providers processing information on Peytec’s behalf are expected to use information only as necessary to provide their contracted services, subject to applicable contractual and legal obligations.

36. Children’s Privacy

Peytec Services are primarily intended for business, commercial, industrial, institutional, and authorized organizational users and are not directed toward children.

Peytec does not knowingly collect personal information directly from children in circumstances where parental or guardian consent is required without obtaining the required consent.

If you believe a child has improperly provided personal information to Peytec, please contact us.

37. Connected Devices and IoT Data

Peytec’s products may involve connected devices, readers, sensors, electronic tags, and other IoT equipment.

These systems may generate operational data that is not personal information by itself.

However, operational information may become personal information where it is associated with an identifiable user.

For example, a tag-scanning record may become associated with an authenticated user when the system records which account performed the scan.

Peytec handles identifiable operational information in accordance with this Privacy Policy and applicable law.

38. Customer Responsibilities

Organizations deploying Peytec technology are responsible for using the Services in accordance with applicable laws and their own internal policies.
